Records are important. Whether it’s a world record in sport or a record of a conversation, as a species we’re quite keen on keeping track of them. Currently, the Miami Heat are on course to break the NBA record for the most consecutive wins. With 26 wins in a row so far, they are only eight away from matching the all-time record. How do we know this? Because someone, somewhere, once said, “Hey, wouldn’t it be a good idea if we recorded all of this, just in case we want to reference it again?” Without records we would never be able to look back on something or recover information. Just as a stopwatch records a marathon runner, an email archive keeps track of all communication flying in and out of your business’ system.

It’s not long until Easter, and with that comes the images of painted eggs, chocolate eggs – all kinds of eggs. Spam is quite an unassuming word. Some of us may still think of it as that strange, canned food – while others automatically think of those annoying emails that fill our inboxes. The old-fashioned image of an in-house technical support team is probably a small dingy office full of flashing lights and the smell of stale coffee. Few ventured in and ever fewer ventured out. Sure you knew what they did, sort of, but how they did it or how to do it yourself was a complete mystery.

Not having an email archive doesn’t exactly strike the same fear as driving without airbags or being on a plane with no oxygen masks. If it did, it would be easier to express its importance to people. But the fact remains they are all things that you don’t want to be without in a serious situation. It’s true no one will die or even sustain any injuries if they do business without an email archive, but it could potentially kill a company.

Why have an email archiving policy? Are you ever really going to need to access your email archive? You might think you’ll never need it, but just like the airbags in your car, someday the email archiving policy you established many moons ago may just be your saviour. The school board of Bossier, Louisiana learned that the hard way when they failed to produce emails requested by attorney John E. Settle. In the end the judge deemed that there was no cause of action in the lawsuit and the school board were off the hook. But there are still lessons to be learned from this example of a poor archiving policy.

Email quotas are common in business. They’re used to manage the amount of data each individual uses for their email and to control email archive requirements. Anyone who has worked for a large organization will be aware of them and will know the pain of skimming your inbox looking for things to delete. Problems can arise with these quotas, because you do rely on staff to retain the right email and dump the waste.
